Who this policy covers

Pickley is software that pickleball clubs use to run their sessions: draws, scoring, leaderboards, and tournaments. This policy explains how Pickley (contactable at hello@pickley.app) collects and uses information.

There are two kinds of people this policy talks about. Club organisers are the people who sign a club up to Pickley, pay for it, and manage sessions. Players are the club members whose names appear in the app because an organiser has entered them, usually without ever visiting pickley.app themselves. A club's organiser is responsible for telling their players that Pickley is used to run sessions and for having the club's own permission to enter player names into it. Pickley acts as the software provider the club uses to do that.

Information we collect

What's collected depends on which part of Pickley is being used.

Pickley does not currently use cookies, analytics, or any advertising or tracking technology on any of its apps or on pickley.app.

How we use it

Information is used to run the service a club has signed up for: generating draws, recording scores, showing leaderboards, letting organisers manage their roster, and letting players open a shared link to see or enter their own results. Feedback is used to fix bugs and improve the app. Contact details are used to reply to enquiries and, for paying clubs, to manage billing.

We don't sell player or club data, and we don't use it for advertising.

Where information is stored

Pickley is built on established cloud providers rather than our own servers. Depending on the club, data is stored with Google Firebase or Supabase, both of which provide the underlying database and hosting infrastructure. Stripe handles payment processing for paid clubs. These providers only process data on Pickley's behalf, under their own security and privacy standards, and are not given access for their own purposes.

How long we keep it

Session and player data is kept for as long as a club is actively using Pickley, so that draw history, standings, and rosters stay useful from week to week. If a club stops using Pickley or an organiser asks us to remove their club's data, we will delete it within a reasonable time. You can ask for this at any point by emailing hello@pickley.app.

Junior and under-age players

Some clubs include junior members. Pickley only ever holds a player's name and, optionally, gender, entered by the club's organiser for the purpose of running that night's draw. It's the club's responsibility to have appropriate permission from a junior player's parent or guardian before entering their name, the same as it would be for a paper sign-in sheet or whiteboard.

Your rights

Under New Zealand's Privacy Act 2020, you can ask what personal information Pickley holds about you and ask for it to be corrected or deleted. If you're a player and want to do this, the quickest route is usually through your club's organiser, since they manage the roster. You're also welcome to contact us directly at hello@pickley.app and we'll help however we can.

Security

We rely on the access controls and encryption built into our hosting providers, and we keep organiser sign-in behind a password. As with any online service, no system can be guaranteed completely secure, but we don't hold sensitive information like financial details or health data ourselves, since payments go directly through Stripe.

Changes to this policy

If this policy changes in a meaningful way, we'll update the date at the top of this page. Since Pickley doesn't collect player email addresses, we may not always be able to notify players directly. Club organisers will be told about material changes by email.
